What this policy covers
Scope of the document
Top Choice Digital builds websites, mobile applications, interface design, and AI-assisted systems for businesses, and also advises on IT questions that come up along the way. This privacy policy covers the pages on top-choice.digital where those services are described and where you can reach us. It describes what we collect when you write to us, why we keep it, how long we keep it, and what you can ask us to do with it.
The policy applies to the site itself and to the messages you send through it. It does not govern a client's own product once we have delivered it, and it does not replace the privacy terms that a hosting provider, an analytics tool, or another supplier publishes for its own service. If you are reading this before starting a project with us, treat it as the plain description of how we handle the personal data you hand over at that first contact.
The current version is always the one published on this page. If anything here is unclear, write to kanogml1201@gmail.com and we will explain the point in ordinary language.
Data we collect
The information you send us, and the small amount of technical data any web server records.
Submitted by you
When you use the contact form on this site or send a project brief by email, we collect what you choose to give us: your name, your email address, a phone number if you include one, your company name, and the content of your message. If you attach files to describe a project, we receive those too.
- Name
- Email address
- Phone number
- Company name
- Message content
Recorded automatically
Our servers may record standard technical data while you browse, such as your IP address, your browser type, and the pages you visited. This is routine server logging. It keeps the site running, helps us notice abuse or unusual traffic, and gives us a rough sense of which pages people actually read.
- IP address
- Browser type
- Pages visited
- Time of the visit
We do not ask for payment card details, government identification numbers, health information, or any other sensitive category of data through this website. If a project later requires that kind of information, we will agree on how to handle it in writing before anything is shared, and we will ask only for what the work genuinely needs.
How we use your data
Every use below serves a purpose you would expect when you write to a studio about a project.
Answering your inquiry
Reply, scope, estimate
We read your message and reply to the address you gave us. If the inquiry turns into a conversation about a website, an app, or an AI feature, we use the same details to discuss requirements, prepare a scope, and send you an estimate. Without your contact details we cannot answer at all, which is the main reason we ask for them.
Keeping records
Business correspondence
We keep a record of the messages exchanged with clients and prospective clients so that a project's history stays traceable. That record helps when a question comes back months later, when a colleague takes over a conversation, or when we need to check what was agreed.
Running the site
Security, stability
Technical data is used to keep the site reachable and working, to detect automated abuse or attempts to break in, and to understand general usage patterns such as which service pages get read. We look at this data in aggregate rather than tracking individual visitors around the web.
No selling of data
Not a source of income
We do not sell personal data, and we do not trade it with advertising networks or data brokers. We also do not use your message content to train machine-learning models. If a project involves AI features, any data used for that work is handled under a separate written agreement with the client.
Legal basis and consent
When you fill in a form on this site or send us a project brief, we process the personal data in it on the basis of your consent. You gave that consent by choosing to send the message, and you can take it back at any time. Withdrawing consent is as simple as writing to kanogml1201@gmail.com and telling us which message or which contact details you want removed from our records. We will stop using the data for that purpose and delete it unless we are required to keep it for a legal or accounting reason, in which case we will tell you what applies.
Technical data such as server logs is processed on the basis of legitimate interest. Keeping a record of who connected to the site, and when, is a normal part of running any web service and protecting it from misuse. That interest is limited to security and site operation; it is not used to build advertising profiles. If you object to this processing, contact us and we will explain what can be limited.
If a project moves forward and we need to process personal data on a client's behalf, for example inside an application we are building, that arrangement is covered by a separate agreement rather than by this page.
Withdrawing consent
- Write to kanogml1201@gmail.com
- Name the message or details
- We confirm and remove them
You do not need to give a reason for withdrawing consent, and asking will not affect how we handle any other request you have sent us.
Sharing with third parties
We keep the list of recipients short, and each one has a defined job.
Hosting provider
The company that runs the servers this site sits on stores the site files and the server logs described above. It processes that data so the site can be served to you.
Email service
Messages you send to our published address pass through an email provider so that they can be delivered and stored in our mailbox.
Legal requirement
If a court, a regulator, or another authority with proper jurisdiction requires information, we may have to disclose it. We would limit any disclosure to what is actually asked for.
No advertising networks
We do not pass personal data to advertising or analytics brokers. Any supplier processing data on our behalf is expected to protect it, to use it only for the task we gave them, and to delete it when that task ends.
If we ever need to bring in a new supplier that touches personal data, we will update this section so the list stays accurate rather than describing a set of recipients that no longer matches how the site runs.
Data retention
We keep inquiry data for as long as needed to handle your request and maintain business records.
In practice that means an unanswered inquiry is removed once it is clear no reply is coming, while a conversation that turned into a project stays in our records for as long as the working relationship and the usual business record-keeping require. Server logs follow the hosting provider's own rotation schedule and are overwritten over time. When data is no longer needed, we delete it or anonymize it so that it can no longer be linked back to you.
Retention at a glance
Unanswered inquiry
Removed when no reply is expected
Project correspondence
Kept while records are required
Server logs
Rotated by the hosting provider
Your rights
You may request access to the personal data we hold about you, ask for corrections, or request deletion.
Access
Ask what personal data we hold about you and receive a copy of it, together with a short explanation of why it is kept.
Correction
If a name, an address, or a phone number we hold is wrong or out of date, tell us and we will correct it.
Deletion
Request that we delete the data we hold about you. We will do so unless a legal or accounting obligation requires us to keep a specific record, and we will tell you if that is the case.
Objection
Object to processing based on legitimate interest, such as server logging, and we will look at whether that processing can be limited.
Withdrawal
Take back the consent you gave when submitting a form, without needing to explain why.
Send requests to kanogml1201@gmail.com. We respond within a reasonable period.
Contact Top Choice DigitalSecurity
We take reasonable technical and organizational measures to protect personal data against unauthorized access, loss, or alteration. Access to inquiry records is limited to the people who need it to answer you. Accounts that reach those records are protected, and the software behind the site is kept up to date.
No method of transmission over the internet is entirely secure, and we cannot promise absolute protection. If a breach ever affected data you gave us, we would tell you what happened and what we were doing about it.
Children's privacy
This site is intended for business use and is not directed at children. We do not knowingly collect data from minors. If you believe a child has sent us personal information, write to kanogml1201@gmail.com and we will remove it.
Changes to this policy
We may update this policy from time to time. The current version is always available on this page.
Updates usually follow a change in how the site runs, a new supplier, or a clarification that makes an existing paragraph easier to understand. When a change affects what we do with data you have already given us, we will describe it in plain words rather than only editing the text quietly.
This policy was last reviewed in November 2026. If you would like the version that applied when you first contacted us, ask and we will send it.
Questions about this policy
For any question about this policy or your data, write to kanogml1201@gmail.com.
What happens to my message after I send it?Open
It arrives in our mailbox, is read by a member of the team, and is answered at the address you gave. If the inquiry becomes a project, the same thread stays as part of the project record. If it does not, it is removed once no reply is expected.
Do I have to give my phone number?Optional
No. Name, email address, and a description of what you need are enough to start a conversation. A phone number only helps if you prefer a call, and you can leave it blank without slowing anything down.
Can I ask you to delete everything you hold?On request
Yes. Write to kanogml1201@gmail.com with the details you want removed. We will confirm when it is done, or explain which specific record we are obliged to keep and for how long.
Does this policy cover a product you build for me?Separate terms
No. Once an application, a website, or an AI feature is delivered, the data inside it is governed by the privacy terms of the business that runs it. If we process personal data on a client's behalf, we agree on the rules in a separate written arrangement.
